The Oakridge Centre Ltd is committed to data protection and data privacy. With the General Data Protection Regulation (GDPR) enforced from the 25th May 2018, we have undertaken a GDPR readiness programme to review our entire company, the way we handle data and the way in which we use it to provide our services.

Our GDPR readiness programme is looking at the following areas:

• Staff training and awareness – how GDPR, the Data Protection Bill, and the ePrivacy Regulation will impact clients, employees and the supply chain
• Supplier management – ensuring all appropriate security, organisational controls and governance processes meet the demands of our clients and of The Oakridge Centre Ltd as it continues to grow
• Development – ensuring we maintain our commitment to best practice and developing systems which meet recognised security standards and making sure we meet our commitment to privacy by design

• Data mapping – a full review of all processes and systems to truly understand the customer experience, the data we hold and the way in which it is used
• Data retention – confirming data retention periods meet contractual, legal and organisations requirements.

When communicating with you outside of our website in our day-to-day through digital media:

We want to keep in contact with you, and share information, ideas and opportunities with people we work with. We undertake pieces of work commissioned by clients using surveys or feedback questionnaires. At each stage, we will always seek assurance by the commissioning client they have gained individual consent to share your details.

Additionally, your details kept on file will include your name, email address, phone number, and sometimes gender and job title.

We will always share an electronic copy of the survey report with members of our team who are working on the assignment where this is necessary and with the individual concerned. We do not send any copies of personal reports to the organisation or to any external agency.

We would like to anonymise reports after 6 months and keep reports for the purposes of building trend reports and will seek your permission to allow your data to be used for research purposes in line with this. We will destroy any reports that contain personal identifying information after 18 months following the completion of the assignment. 

All reports are key centrally in a private and confidential cloud-based file and is accessed via password protection by agreed individuals – an audit of who has accessed and used these files can be produced on request.

We work with a number of external suppliers – we have been assured they are compliant with the GDPR regulations and will monitor this from time to time.

Additionally, we work with marketing and PR suppliers who have the same standards in place and can provide their proof of compliance if required.
